Purpose

At Pilates ITC, we’re committed to meeting our regulatory obligations and delivering training and assessment services that are high quality, transparent, and in line with national expectations. This policy outlines how we maintain compliance with ASQA guidelines and the Standards for RTOs 2025, helping to ensure continuous improvement and accountability across all areas of our operations.


Definitions

  • ASQA (Australian Skills Quality Authority): The national regulator for the vocational education and training (VET) sector in Australia. ASQA oversees the registration and compliance of RTOs.

  • Standards for RTOs 2025: The nationally recognised framework that outlines the expectations Registered Training Organisations must meet to ensure quality outcomes for Students and industry.

  • Clause: A specific requirement within the Standards for RTOs. Each clause addresses a core element of training delivery, assessment, or organisational responsibility.

  • Compliance Register: An internal tool used to track compliance activities, audit findings, and follow-up actions to ensure continuous improvement.

  • Continuous Improvement Register: A record of feedback and suggestions from Students, staff, and stakeholders, used to guide enhancements to services and practices.

  • Validation: A quality review process of assessment tools, practices, and outcomes to confirm they align with industry requirements and are effective in measuring Student competency.

  • Work Placement Studio: A third-party or partner organisation affiliated with Pilates ITC, where practical components of a course may be delivered under compliance obligations.

This policy applies to:

  • Our team of educators, administrators, and management

  • You, if you’re enrolled as a Pilates ITC Student

  • Our affiliated partners, such as Work Placement Studios


Our Commitment

We’re dedicated to full compliance with the legislative and regulatory requirements that govern the Vocational Education and Training (VET) sector in Australia. This means:

  • Embedding compliance standards into daily operations—from training and assessments to Student support and organisational procedures

  • Ensuring you and all stakeholders experience consistency, transparency, and integrity in how we do things

  • Upholding our responsibilities under the Standards for RTOs 2025, ASQA guidelines, and other relevant requirements


Key Principles

Regulatory Compliance

We align with the following clauses in the Standards for RTOs 2025:

  • Clause 1.7: You’ll have equitable access to the facilities and resources you need to succeed

  • Clause 1.8: We ensure your assessments are fair, valid, and transparent

  • Clause 3.6: Your records, including your Unique Student Identifier (USI), are maintained securely

  • Clause 6.1: We’ve got solid complaints and appeals processes in place

  • Clause 1.9: Our validation practices help ensure assessments meet industry standards

We also follow ASQA Guidelines that relate to quality, ethics, and integrity across training and operations.

Continuous Improvement

  • We regularly review our policies and practices to make sure they reflect updated standards or emerging needs

  • Feedback from you, our team, and partners goes straight into our Continuous Improvement Register, where ideas turn into action

Ethical Practices

  • We uphold transparency, fairness, and integrity in everything we do—from enrolment to assessment and beyond


Our Policy

Compliance Monitoring

  • Internal Audits: These are conducted regularly, and findings go into our Compliance Register to ensure follow-up

  • External Audits: We cooperate fully with ASQA and third-party audits, resolving any non-compliance straight away

Reviewing Policies and Procedures

  • Annual Review: We refresh our policies each year to stay aligned with current legislation and best practices

  • Staff Training: Our team receives regular training so everyone stays up to date on compliance responsibilities

Documentation and Record Keeping

  • Student Records: We maintain accurate, secure records for you in line with Clause 3.6

  • Operational Records: All compliance-related documentation is securely stored and audit-ready

Communication and Awareness

  • For Staff: We keep our team informed of compliance updates during internal meetings and communications

  • For Students: You can access all compliance-related policies on our website, in the Student Handbook, and via the Knowledge Base Library

Feedback and Continuous Improvement

  • We regularly invite feedback from Students, staff, and stakeholders via surveys and forums

  • Your suggestions go into our Continuous Improvement Register and are reviewed during weekly management meetings

Validation Activities

  • We conduct regular validation of assessments as required under Clause 1.9, ensuring they reflect current industry standards

Non-Compliance Procedure

  • Investigation: Any compliance issues are investigated promptly by our management or Compliance Team

  • Corrective Actions: Gaps are addressed immediately and monitored for effectiveness

  • Reporting: All incidents are logged in the Continuous Improvement Register and reported as necessary
