How to prepare for a Zoom Meeting

Getting Ready for a Zoom Class

Preparation Tips:

  • Mark the Zoom session in your calendar and set a reminder 15 minutes ahead of time.

  • Have earbuds or a headset ready to ensure clear audio during the class.

  • Choose a quiet and distraction-free space with reliable internet access for the meeting.

  • Review the Zoom link and teacher’s instructions ahead of the session.

Practice Ahead of Time:

  • Test your setup by joining a Zoom test meeting a few days before the class. Ensure you've downloaded the Zoom software (desktop version for Mac/PC or mobile app for iOS/Android).

  • Familiarise yourself with key Zoom features:

    • Explore the menu options at the bottom of the Zoom window.

    • Practice switching between different views (e.g., Speaker View to focus on the instructor, Gallery View to see all participants, and Fullscreen for maximum clarity).

    • Locate and test your microphone (Mute/Unmute) and video (Start/Stop) functions.

    • Experiment with using the Chat feature to post comments or questions.

    • Click on "Participants" to see who’s attending and test the Raise Hand feature.

    • Try sharing your screen to present content (e.g., your desktop), then use "Stop Sharing" when finished.

Need Assistance? If your test run reveals issues, reach out to Pilates ITC’s Student Support team for technical help.

Special Requirements: If you need accommodations, such as live captioning, contact the Student Services team at least ten business days in advance.

Joining the Class:

  • Use your scheduled quiet space and connect your headset to your device.

  • Click the meeting link, select "Join Meeting," and follow the prompts to start the session.

  • Join audio by computer and enable your camera for class participation.

During the Zoom Class:

  • Keep your microphone muted unless you're speaking to minimise background noise.

  • Turn on your webcam to stay visually engaged with the instructor and peers.

  • Use the Chat window for questions or class discussions, and respond when prompted by the instructor.

  • Participate actively—whether through verbal contributions or typed questions/comments.

  • Check attendance via the Participants list and use the Raise Hand feature when needed.

  • Prepare to share your screen if required for class presentations or activities.

Wrapping Up:

  • At the end of the session, click "Leave Meeting" to exit.

  • Save class notes and any shared information from the Chat feature for future reference (optional).

  • Organise follow-up tasks or assignments after class.

Zoom Etiquette & On-Camera Tips:

  • Be ready to present with materials at hand (e.g., slides, resources, links to share).

  • Ensure proper lighting so your face is visible, and maintain a professional appearance on camera.

  • Be mindful of your posture and expressions—they matter as much as in-person communication.

  • Avoid distractions like eating or shuffling papers during the meeting.

  • If video isn't an option, upload a professional profile image to your Zoom account.
