Purpose
At Pilates ITC, we’re always looking for ways to strengthen our programs, services, and processes—because your learning experience matters. This Continuous Improvement Policy explains how we maintain excellence by reviewing and evolving what we do, staying aligned with ASQA guidelines and the Standards for RTOs 2025. With your feedback, internal audits, and ongoing evaluation, we strive to reflect the best of industry standards in everything we offer.
Definitions
Continuous Improvement (CI) Register: A living document where feedback and ideas for improvement are recorded, tracked, and actioned.
Complaints Register: A tool for categorising and tracking issues, assigning accountability, and monitoring outcomes or workarounds.
Audit: A formal review or assessment of processes to ensure compliance and identify areas for improvement.
Professional Development: Training and upskilling opportunities provided to ensure Staff and Educators stay informed and capable.
Team Pulse Meetings: Weekly team catch-ups designed to surface ideas, review feedback, and maintain alignment across the organisation.

Feedback Collection We gather input through:
Quarterly Student Surveys
Quarterly Educator and Internal Team Surveys
Post In-Person Course Delivery & Teaching Clinic Surveys
Internal suggestions via a unique Continuous Improvement Email.
We maintain a Student Experience Resolution log and review for trends to identify areas of improvement.
Feedback Integration Management reviews your feedback and prioritises actions in the Continuous Improvement Register. These are reviewed in weekly management and team pulse meetings.
Implementation of Improvement Initiatives
Planning We plan improvements based on feedback, audits, and performance data—defining objectives, timelines, and accountability.
Action Initiatives are carried out by relevant teams, with clear ownership and progress tracked through the CI Register.
Evaluation We measure effectiveness using Student outcomes, satisfaction levels, and operational performance.
Review Results are reviewed weekly, and any final updates are recorded in the CI Register for transparency.
Audits and Registers
Regular Audits Spot checks are performed by our Training Manager to assess internal processes for accuracy and efficiency.
Student Experience Resolution Log - Formal Feedback and Complaints are sorted and monitored to ensure timely and appropriate actions, with ownership and resolution deadlines clearly tracked.
Continuous Improvement Register Weekly pulse meetings feed new suggestions into the register. Every item includes an action plan, progress updates, and final outcomes.
Professional Development
Training and Upskilling Our Staff and Educators are encouraged to participate in professional development workshops and courses to remain industry-ready.
Continuous Learning These programs are reviewed each year to ensure they align with our goals and the needs of our Students.
Quality Assurance and Innovation
Internal Standards We review and update policies and procedures quarterly to ensure they comply with national requirements.
Innovation New technologies and approaches are regularly explored to enhance Student learning and engagement.
