Credit Transfer (CT) Policy and Procedure

Purpose

This policy outlines the procedures for granting Credit Transfer (CT) at Pilates ITC. CT allows you to receive recognition for previously completed qualifications—so you don’t have to repeat learning you’ve already achieved. It ensures a fair, transparent process that aligns with the Standards for RTOs 2025 and the expectations of the Australian Skills Quality Authority (ASQA).


Definitions

  • Credit Transfer (CT): Recognition of completed units of competency from another RTO or AQF-authorised provider.

  • AQF Certification Documentation: Official transcripts, Statements of Attainment, or qualifications issued under the Australian Qualifications Framework.

  • Clustered Assessments: Assessments that combine multiple units of competency into a single task or activity.


Who This Policy Applies To

This policy applies to:

  • Students applying for CT prior to enrolment

  • Pilates ITC Careers Team, Student Support Team, and Educators involved in verifying, processing, and recording CT applications


Our Commitment

We’re here to support you in gaining recognition for your prior learning. Pilates ITC is committed to:

  • Accepting authenticated AQF certification from other Registered Training Organisations (RTOs)

  • Ensuring the CT process is fair, consistent, and compliant

  • Validating all evidence to ensure it’s authentic, current, and relevant


Eligibility for Credit Transfer

To be eligible for CT, you must:

  • Indicate your intent to apply prior to enrolment

  • Provide certified copies or originals of official documentation (e.g. Statement of Attainment or Record of Results)

  • Ensure unit codes and titles match exactly with those in the current Pilates ITC training package > Note: CT applies only to full units of competency—not partial completions.


Procedure

Initiating a CT Application

  • When: Let the Careers Team know during your enrolment process

  • What to Expect: A team member will explain the process, required documents, and any implications (e.g. clustering or assessment requirements)

  • What to Provide:

    • Certified Statement of Attainment or Record of Results

    • Additional documentation if requested

Verifying Your Evidence

  • A Pilates ITC staff member will sight and validate your documents

  • We’ll confirm authenticity with the issuing RTO

  • All verified documents are securely stored in your student file

Processing the Credit Transfer

Once verified, the Student Support Team will:

  • Mark relevant LMS modules as “complete”

  • Review any clustered assessments affected by CT

    • Some assessments may still need to be completed

    • Certain questions may be marked as “void” or “not required”

  • Advise you of any remaining assessment requirements

Outcome and Record-Keeping

  • You’ll receive a written outcome of your CT application

  • Approved CT will be reflected in your Record of Results and/or AQF certification

  • No fee discounts apply for CT

Important Notes

  • CT applies only where unit codes and titles are identical

  • Our Diploma and Advanced Diploma qualifications use clustered units, so:

    • Completion of some course material including assessments may be required

    • Specific questions may be exempted

  • CT does not reduce course fees

  • We recommend applying early to ensure timely processing and alignment with your study plan
