Admissions and Onboarding Policy
Purpose
At Pilates ITC, we want to ensure your journey starts off right. This Admissions and Onboarding Policy outlines the steps we follow to make sure your enrolment is seamless, transparent, and supportive. It also ensures we meet all regulatory requirements under the Standards for RTOs 2025, ASQA guidelines, and relevant legislative obligations.
Definitions
LLND: Learning, Literacy, Numeracy, and Digital skills that may influence your ability to meet course requirements.
AVETMISS: The Australian Vocational Education and Training Management Information Statistical Standard, used for national reporting.
Student Management System (SMS): Pilates ITC’s secure platform (VT Cloud) where enrolment records are managed.
LMS (Learning Management System): The online platform where you access course modules, assessments, and support materials.

You, if you're enrolling in a Pilates ITC course.
Pilates ITC Staff responsible for managing enrolment and onboarding processes.

Giving you accurate, accessible information to support informed decisions, in line with Clause 4.1.
Providing the tools, platforms, and resources you need to succeed from day one.
Procedure
1. Enrolment Process
Step 1: Deposit Payment and Basic Enrolment Form
You begin by paying a deposit through the Pilates ITC website.
After payment, you’ll complete the basic enrolment form with your personal details, which are managed in accordance with the Privacy and Data Management Policy.
Step 2: Declaration of LLND Challenges
During enrolment, you're asked to declare any Learning, Literacy, Numeracy, or Digital (LLND) needs that may affect your course progress.
If support is needed, our Admissions Team will guide you through available resources to help prepare you for success.
Step 3: Completion of Mandatory Forms
Once your enrolment details are submitted, you’ll receive a Welcome Email including:
A payment schedule for your review and acceptance.
The AVETMISS Data Form for compliance reporting.
A health screening questionnaire to help us understand any additional needs.
A Parent or Guardian Declaration Form (if you're under 18).
Step 4: Payment Plan Acceptance
You must accept your payment plan within 3 calendar days to finalise your enrolment.
If not accepted within this timeframe, your link will expire and your place may be offered to someone on the waitlist.
Step 5: Issuance of Resources
Once the payment plan is accepted, you’ll receive a Getting Started Email containing:
Your login credentials for the Learning Management System (LMS) and Student Portal.
Access to digital learning resources and tutorial videos to help you get set up.
Entry to the Complete Anatomy app and other tools that support your learning.
2. Onboarding Process
Your Getting Started Email will provide:
Step-by-step instructions to access the LMS, Student Portal, and course materials.
Links to tutorial videos to help you set up your account and get oriented.
Learning Management System (LMS)
This includes:
Course modules, assessments, and our comprehensive repertoire library.
Knowledge-based quizzes and practical tools.
A Digital Studio for observing and logging your self-mastery hours.
Student Portal
Here you'll find:
Your enrolment confirmation and training schedule.
Assignment upload tools and access to your assessment results.
A portfolio of evidence and other relevant course forms.
Information on in-person workshops, if applicable.
Reporting and Record-Keeping
Your enrolment records are stored securely in the Student Management System (VT Cloud).
Pilates ITC complies with national reporting and ASQA requirements for accurate, secure data management.
