Purpose

At Pilates ITC, your feedback matters. We’re committed to creating a learning environment that evolves with your needs. This policy ensures that your input is collected, valued, and acted upon—contributing to high-quality course delivery, strong educator support, and an exceptional student experience. Through a structured and transparent feedback process, we align with the Standards for RTOs 2025, ASQA requirements, and the values outlined in the Pilates ITC Student Handbook and Knowledge Base Library.


Definitions

  • Student Feedback – Insights, opinions, and suggestions shared by students to reflect their learning experiences

  • Continuous Improvement Register – A live record of identified areas for improvement, including actions taken and outcomes

  • Student Management System (SMS) – Pilates ITC’s secure platform for storing student data and survey submissions

  • Staff involved in collecting, analysing, and applying student feedback


Our Policy

Collection of Feedback

You’ll have several formal opportunities to share your experience with us:

  • Post-Course and Assessment Surveys You’ll receive an online survey link about an hour after each course delivery, clinic, or practical assessment. Your responses go straight into our Student Management System (SMS) and are handled in line with our Privacy and Data Management Policy.

  • Quarterly Student Surveys These are shared via email and the student Facebook forum. They let you provide deeper reflections about your training journey as a whole.

Data Management and Your Rights

We respect your privacy and rights when handling your feedback:

  • Your responses are stored securely in the SMS and only viewed by authorised staff

  • We use your feedback to drive quality improvements, always in line with our Privacy and Data Management Policy

  • If you'd prefer that your comments aren't shared publicly (like on social media), just let us know

  • To help us follow up effectively, you’ll need to include your name when submitting a survey

Analysis and Reporting

We’ll carefully review what you share:

  • Feedback is analysed for common themes, standout comments, and areas needing attention

  • Positive highlights and critical issues are summarised and shared internally with our team

  • Summary results are also shared with students—usually in anonymised form via our student Facebook forum

Actioning Feedback

Your suggestions don’t just sit in a folder—we act on them.

  • All trends and improvement ideas are logged in the Internal Continuous Improvement Register

  • Our management team reviews the register regularly to prioritise and implement meaningful changes, such as:

    • Refining course materials or assessments

    • Improving teaching methods or physical facilities

    • Enhancing communication or schedules

Follow-Up and Communication

If you provide feedback, we’ll keep you in the loop:

  • You’ll receive acknowledgment (where appropriate)

  • We’ll let you know what actions are taken based on your input

  • If your feedback is especially positive and could be helpful to others, we might share it publicly—with your permission, of course

Feedback in Continuous Improvement Cycles

We see feedback as an ongoing part of growth:

  • Specific comments about venues or educators are shared respectfully with the right people

  • Trends inform long-term planning and guide updates to internal policies, systems, and training delivery
