Work Placement Policy and Procedure
Purpose
At Pilates ITC, we understand how important it is to apply your learning in a real-world environment. Work Placement is a required and valuable part of your journey, giving you the chance to develop practical skills, gain confidence, and become familiar with how a professional Pilates studio operates. This policy outlines the responsibilities and processes involved so you feel supported every step of the way. All placements are conducted in safe, industry-compliant studios with clear guidance and ongoing support from our team.
Definitions
Work-Based Training – Training activities such as “work experience,” “Work Placement,” and practical assessments conducted in an external studio setting.
Observation Activities – Watching experienced instructors to gain practical insights into techniques and teaching.
Teaching Activities – Practising instructional skills under professional supervision in a Pilates environment.
Who This Policy Applies To
You, as a student of Pilates ITC who is required to undertake Work Placement
Work Placement Studios (WPS) approved by Pilates ITC to host placement activities
Pilates ITC staff responsible for sourcing and supporting WPS, reviewing applications, ensuring compliance, and supporting your placement experience

Your Responsibilities
Work Placement Studios (WPS)
You must complete your placement at an affiliated WPS
Find a list of affiliated studios by location on the Pilates ITC website
Logbook Management
Maintain your logbook securely and up-to-date
Scan or photograph regularly for safekeeping
All activity must be signed and dated during your placement
Work Placement Supervisor
Nominate a Supervisor to verify and sign your logbook entries
Communicate clearly with your Supervisor before and during placement
Recording Your Hours
All Teaching Clinics and other placement activities must be logged
Studio Charges
WPS may charge for facility access or classes during Teaching Activities
Observation Activities should not typically incur a fee—if they do, please reach out to Student Support for assistance
Co-Teaching
Not all WPS allow co-teaching. Please confirm expectations with your studio before starting
Work Placement Studio (WPS) Application
Application
Studios apply to become WPS by completing the Work Placement Studio Application Form
Approval
Applications are reviewed by the Student Support Team based on facilities, instructor qualifications, and documentation provided
Vetting Requirements
Studios must submit:
Evidence of suitable facilities
Emergency evacuation procedures
Current insurance (certificate of currency)
Risk Assessment
Site-based risk assessments are conducted to confirm workplace safety and compliance
Insurance Requirements
If in exceptional circumstances or you live in a rural or remote location you cannot access an affiliated studio:
You’ll need to source your own Professional Indemnity and Public Liability Insurance.
Proof of insurance must be submitted with your logbook
Recommendations
For guidance, you're encouraged to consult AUSactive or an insurance broker in relation to insurance.
Note: Pilates ITC staff cannot provide individual insurance advice nor guarantee that students will be able to get insurance.
Recording & Submission
Use your logbook to track attendance and activities (signed by you and your WPS Instructor)
Submit your logbook 7 days before your Practical Assessment for marking
Any missing details (signatures, dates, etc.) may require resubmission
You’re allowed up to 2 resubmissions before additional fees apply (see our Fees Schedule)
Your final assessment will confirm all Work Placement requirements have been satisfied

Compliance
This policy complies with:
Clause 1.7 of the Standards for RTOs 2025: Supporting students to access facilities, resources, and trainers required for their course.
Clause 1.8 of the Standards for RTOs 2025: Ensuring valid, reliable, fair, and flexible assessment practices, including those conducted during Work Placements.
Clause 1.1 of the Standards for RTOs 2025: Ensuring training and assessment strategies are consistent with the requirements of training packages and VET-accredited courses.
Clause 1.2 of the Standards for RTOs 2025: Considering the existing skills, knowledge, and experience of students when determining the amount of training provided.
Clause 8.5 of the Standards for RTOs 2025: Ensuring compliance with legislative and regulatory requirements, including workplace safety and insurance standards.
