Graduation and Awards Policy

Purpose

Pilates ITC is committed to supporting students through a timely, transparent, and meaningful graduation process. This policy outlines how qualifications and statements of attainment are issued once competency is achieved, in accordance with the Credential Policy and Compliance Requirements of the Standards for RTOs 2025.


Definitions

  • Certificate: Issued when you complete all units within a qualification. This is accompanied by a Record of Results and delivered digitally via Learning Vault.

  • Statement of Attainment: Issued for successfully completed units of competency when the full qualification is not attained. These are only issued at the end of your enrolment, in line with ASQA requirements.

  • Acknowledgement of Studies: A formal email confirming your progress, issued mid-enrolment for employment purposes. This requires full compliance checks and supporting documentation. It is not a Statement of Attainment and cannot be used as a substitute.

  • Final Assessment Outcome: The result of your final unit of competency, confirming readiness for award processing.

  • Compliance Forms: Required documentation that must be signed, dated, and returned before any award is issued. This includes the Student Evaluation Form, AVETMISS Form, and other relevant materials.

  • LMS (Learning Management System): Pilates ITC’s digital platform for coursework, resources, and assessment tracking.

  • Learning Vault: A secure credentialing platform used to issue your digital certificate or Statement of Attainment. Credentials are instantly verifiable and can be shared across multiple platforms.

  • Digital Resource Subscription: An optional 12-month subscription available after graduation, giving you continued access to your course materials, Repertoire Library, and Digital Studio.

  • Upskill Pathway: An optional bundled study opportunity that can be added before graduation to expand your qualifications. You may be eligible for a discount when progressing into your next course.

  • Maximum Course Duration: The published timeframe in your Student Portal within which all coursework, assessments, and Work Placement must be completed to remain eligible for graduation.


Who This Policy Applies To

  • Students nearing completion of a Pilates ITC qualification.

  • Educators and Student Support Team members facilitating graduation.

  • Compliance and administrative staff managing certification and documentation.


Graduation Process


Timeline & Obligations

In alignment with Clause 3.1 of the Compliance Requirements, Pilates ITC will issue AQF certification documentation 30 calendar days of a learner being assessed as meeting the requirements of their training program

We work closely with you throughout this window to ensure everything moves smoothly. We rely on your active participation to return forms, confirm details, and provide any outstanding submissions.


Issuance of Awards

  • A Certificate with Record of Results will be issued for full qualification completion.

  • A Statement of Attainment will be issued for completed units only, as per Clause 3.2 of the Outcome Standards. These are not issued during ongoing enrolment.


Graduation takes place at the end of your enrolment.

To be eligible for graduation, you must complete all coursework, assessments, and Work Placement within your maximum course duration as published in your Student Portal. Your account must be reconciled, and you must be marked satisfactory against all units of competency. All evidence must be submitted and compiled in your student documents folder within the student management system.

This includes:

  • All written assessments.

  • All practical assessments.

  • All LMS modules and quizzes.

  • All Work Placement logbooks.

  • All course fees paid.

Once we’ve confirmed your portfolio of evidence is complete, you’ll be sent:

  • A Student Evaluation Form.

  • An AVETMISS Form.

  • Any other relevant compliance documentation.

These forms must be completed and returned before we can issue your graduation outcome—whether that’s a Statement of Attainment, Certificate, or Acknowledgement of Studies.


What you’ll receive.

Once your enrolment is complete, you’re entitled to:

  • A Statement of Attainment (for partial completion of the Diploma).

  • A Certificate and Record of Results (for full Diploma).

In line with ASQA requirements, RTOs may only issue a Statement of Attainment at the end of an enrolment.

Please note: The Student Support Team will only initiate the graduation process once you’ve successfully completed your practical assessment and are not continuing in further studies.


Your Digital Certificate with Learning Vault.

At Pilates ITC, we issue your certificate or Statement of Attainment digitally through Learning Vault—a secure, easy-to-use credentialing platform designed to help you manage and share your achievements with confidence.

What is Learning Vault?

Learning Vault is a trusted Australian and UK-based platform that provides secure, tamperproof digital credentials. These include certificates, badges, and Statements of Attainment that meet national and international standards.

Your credentials are instantly verifiable, giving employers, educators, and peers confidence in your achievements.

How You’ll Receive Your Certificate.

Once you’ve completed your course and your graduation has been processed, you’ll receive your AQF-compliant digital certificate or Statement of Attainment via email. This will link directly to your Learning Vault account.

From there, you’ll have access to your personal skills wallet—no paper handling, no waiting. You can manage all your credentials in one place, safely and conveniently.

Your digital certificate:

  • Can be verified instantly, showing exactly what you achieved, when, and with whom.

  • Can be shared across more than 170 platforms, including LinkedIn, email, and Apple/Google wallets.

  • Helps you showcase your skills and build your professional reputation.

  • Is lose-proof and instantly replaceable—no more lost or damaged paper copies.

  • Supports your lifelong learning journey, with all your credentials stored and organised in one place.

Whether you’re applying for a job, continuing your studies, or simply celebrating a milestone, Learning Vault makes it easy to share your success.


Acknowledgement of Studies.

If you’re enrolled in multiple pathways, you won’t automatically receive a Statement of Attainment at the end of each one. However, if you need documentation for employment purposes before completing your enrolment, you can request an Acknowledgement of Studies.

This acknowledgement still requires the same level of evidence gathering, checking, and compliance review. In line with ASQA regulations, it can only be issued as an email.

If needed, our team is happy to speak directly with prospective employers to verify your Acknowledgement of Studies.

To apply:

  • Contact the Student Support Team at administration@pilatesitc.edu.au .

  • Complete the required compliance checks and release forms:

    • Student Evaluation Form.

    • AQTF Learner Questionnaire.

    • Compliance documentation related to the units you’ve completed so far.


After Graduation.

Once your certificate or Statement of Attainment has been issued, you’ll be formally offboarded from Pilates ITC. This includes removal of access to your course materials.

If you’d like to keep access to your course as a little security blanket for the next 12 months, you’re welcome to purchase a Digital Resource Subscription. This gives you continued access to:

  • Your full course materials.

  • The Repertoire Library.

  • The Digital Studio.
