Practical Assessment Policy and Procedure

Purpose

At Pilates ITC, we’re committed to supporting you through a flexible, fair, and safe assessment experience. This Practical Assessment Policy outlines the available options and expectations for completing your practical assessments, while ensuring compliance with the Standards for RTOs 2025, ASQA guidelines, and relevant Work Health and Safety (WHS) legislation.


Definitions

  • Practical Assessment: The teaching or delivery component of your course where you're observed by an Educator.

  • Digital Submission: A video recording of your assessment submitted online (e.g., via WeTransfer).

  • PARCI: Practical Assessment Readiness Check-In, a key step to confirm your preparedness.

  • Blended Student: A student completing training through both online and in-person delivery.

  • Online Student: A student completing all training, assessment, and placement components digitally or remotely.

  • Satisfactory Outcome: Your assessment meets all criteria—safe, effective, and appropriately cued across all required stages.

  • Not Yet Satisfactory Outcome: Your submission doesn’t meet one or more criteria, requiring full or partial resubmission.

  • WHS (Work Health and Safety): Legislation and practices ensuring safety during assessments, training, and student interactions.


Who This Policy Applies To

This policy applies to:

  • All students enrolled in a Pilates ITC course that includes practical assessments.

  • Educators, staff, and the Student Support Team coordinating or facilitating these assessments.


Practical Assessment Procedure

Assessment Modes

Online Students – Digital Submission If you're studying online:

  • Upon request for your Practical Assessment Task, the Student Support Team will initiate the PARCI process. Please allow for a minimum of 14 days before your requesting Practical assessment date to allow for collating of your evidence portfolio and approving your assessment eligibility.

  • Submit assessment videos via a OneDrive folder that will be sent to you via the Student Support Team upon booking your Practical Assessment.

  • Your Digital Practical Assessment is due within and no later than three (3) calendar days of receiving the guidelines. (Including Weekends and Public Holidays).

  • You’re responsible for providing three healthy bodies, organising your venue, and covering related costs.

  • Please allow up to four weeks for marking and feedback.

  • We recommend that you should sit your digital practical assessment no later than 6 weeks prior to your maximum course duration date to ensure you have enough time for marking, resubmission and remarking etc before your course expires.

You can request submission guidelines at any time - just reach out to the friendly Student Support Team.

Blended Students – Scheduled Practical Assessments If you’re studying in blended mode:

  • Your practical assessment will be listed in your Student Portal timetable.

  • The Student Support Team will initiate the PARCI process 4–5 weeks before your assessment.

  • If two dates are listed, please keep both free- final details will be confirmed up to 14 days prior.

  • Attend the full session and expect to participate as a body in your peers’ assessments- it’s part of the learning.

  • Declare and discuss any Reasonable Adjustments with the Student Support Team prior to assessment as per the Reasonable Adjustments Policy.

  • You’re never expected to perform exercises contraindicated for you.


Re-sits and Resubmissions

Blended Students:

  • Educators will try to accommodate re-sits on the day.

  • If that’s not possible, a digital assessment is required (fees apply- see the Fees Schedule).

  • If digital submission isn’t right for you, contact Student Support to explore other options (which may also carry fees).

Online Students:

  • You can submit up to two resubmissions at no extra charge if your first submission is “Not Yet Satisfactory.”

  • Educators will give you clear feedback on what to address.

  • If further resubmissions are needed beyond the second, additional fees will apply (outlined in the Fees Schedule).

  • Your resubmission may be partial or full, depending on your Educator's feedback.

Need a format change? Just speak with the team—alternate options are available, but may involve additional costs.

Switching Modes

  • Online Students can request to attend a scheduled in-person assessment.

  • Blended Students unable to attend a Practical Assessment In Person scheduled session (due to illness or exceptional circumstances) may switch to digital submission (fees apply - see Fees Schedule).

Private Assessments

  • You can request a 1:1 private assessment for an additional fee.

  • The Student Support Team will assist with venue arrangements.

  • You’ll need to provide three healthy bodies for your session.

  • Where possible, re-sits can occur the same day. If not, rescheduling will involve a separate fee.


Eligibility to Sit a Practical Assessment

To be eligible, you must complete these items no later than 14 days prior to your confirmed assessment or request for digital guidelines:

  • All written assessments for the modality submitted

  • Your Work Placement Logbook completed and submitted

  • All LMS modules and quizzes for the modality marked complete

  • All course fees paid and up to date

If you can’t meet the deadline, you can apply for an extension (note: a fee may apply—see the Fees Schedule).

Practical Assessment Readiness Check-In (PARCI)

  • Initiated 4–5 weeks before your scheduled assessment

  • You’ll RSVP via a link sent by the Student Support Team

  • This step confirms you’re ready and gives time to organise any support you need


Assessment Formats

Matwork & Reformer Assessments:

  • You will receive a 40 minute program 48 hours before your scheduled assessment date - via the email you enrolled with. This will also be available in your Student Portal. Check your Student Portal if you do not receive in your inbox.

  • The assessment, will require you to incorporate three (3) to four (4) additional exercises selected from the repertoire provided.

  • You will also be required to verbally (on the day), or in writing for digital submissions, explain how you would adjust the program to accommodate client considerations.

  • All information relating to this process is located in the Assessment Suite under the Practical Assessment section. You are encouraged to review this in advance to begin planning.

  • To ensure fairness and respect for all students attending an in- person assessment, assessments will follow a strict 60 minute timeframe.

  • If the required evidence is not demonstrated within this timeframe, you will be required to re sit your assessment via digital submission.

  • Further details can be found in your Assessment Portal.

You’ll:

  • Use hands-on, visual, and verbal cuing.

  • Provide progressions and regressions for all three bodies.

  • Receive 1:1 feedback at the 20 minute point (In-Person Students only).

  • Keep to time—going over may result in a “Not Yet Satisfactory” outcome.

  • Present Photo ID to verify your identity on the day or at the start of a digital submission. View the Student Identity Verification, Photo ID & Assessment Authenticity Policy here.

Studio Assessments Studio IC

  • Conduct a postural assessment

  • Teach a standard IC program (50 minutes)

  • Document client notes in SOAP format

Studio Practical

  • Teach a trio session (three clients)

    • Stage 1: Introductory to Basic (20 minutes)

    • Stage 2: Progressive to Intermediate (20 minutes)

Online Students may submit all stages in one digital file. If needed, later stages may require re-submission based on feedback.

You’ll:

  • Use hands-on, visual, and verbal cuing.

  • Provide progressions and regressions for all three bodies.

  • Receive 1:1 feedback during the assessment (In-Person Only)

  • Keep to time—going over may result in a “Not Yet Satisfactory” outcome.

WHS Requirements

  • Wear enclosed footwear (e.g., sneakers and socks)

  • Follow all WHS standards—this includes assessment days and clinical settings

Additionally, the timeframe to carry out and return the practical assessment was four (4) days from the date of issuance of the Practical Assessment.
