Reasonable Adjustments Policy and Procedure

Purpose

At Pilates ITC, we want every student to have equitable access to learning and assessment. This policy explains how we identify, implement, and monitor reasonable adjustments to support students with learning, physical, mental health, neurodivergent, disability-related, pregnancy-related, or personal circumstances that may impact participation.

Our approach aligns with the Standards for RTOs 2025, ASQA self-assurance expectations, the Disability Discrimination Act 1992, and the Disability Standards for Education 2005. All adjustments must support learner needs while maintaining assessment validity, fairness, and competency requirements.


Definitions

  • Reasonable Adjustment A modification or support that enables a student to participate in training and assessment on equal terms without lowering the required standard of competency.

    Contraindicated Exercises Movements or activities that may pose a risk due to a medical condition, injury, or physical limitation.

    External Support Services Policy A related policy outlining additional academic, wellbeing, and external support options available to students.


Who This Policy Applies To

  • This policy applies to:

    • All Pilates ITC students, including those requiring adjustments due to disability, injury, neurodivergence, mental health conditions, pregnancy, or personal circumstances.

    • The Student Support Team, who coordinate Training Plans and support services.

    • Educators and Assessors, who implement adjustments in delivery and assessment.

    • Management, who ensure adjustments meet compliance, industry expectations, and quality assurance requirements.


Our Policy

Disclosure Requirement

Students are encouraged to disclose any learning, physical, mental health, or accessibility needs:

  • During enrolment, or

  • At any time during the program if circumstances change.

Supporting documentation from a qualified professional may be requested to help determine appropriate adjustments and develop a Training Plan.

Students will never be penalised for late disclosure. However, late disclosure may delay implementation if adjustments cannot be safely or reasonably applied on the same day. Pilates ITC will take all reasonable steps to support the student as soon as practicable.

Students can disclose needs through:

Reasonable Adjustments: What They Are

Reasonable adjustments ensure students can learn safely and effectively while still meeting all competency requirements. Adjustments may include:

  • Additional time for assessments.

  • Alternative formats such as large print or audio.

  • Modified practical tasks that maintain assessment validity.

  • Adjusted learning environments such as seating, lighting, or sensory considerations.

  • Rest breaks or flexible scheduling.

  • Alternative participation methods for practical demonstrations.

All adjustments must:

  • Maintain assessment integrity.

  • Ensure fairness and consistency across learners.

  • Be documented in the Training Plan and assessment records.

Contraindicated Exercises

If you have exercises that are medically unsuitable:

  • Notify the Student Support Team early so a Training Plan can be created.

  • Debrief with your Educator before any Course Delivery or Teaching Clinic session.

  • Provide documentation from a medical practitioner.

Where appropriate, Pilates ITC may consult with your healthcare provider, with your consent, to confirm safe alternatives or exclusions.

Pregnancy Support

If you are pregnant:

  • You will not be required to participate in movements that may be unsafe during pregnancy.

  • Reasonable adjustments may include:

    • Variations or regressions for contraindicated exercises.

    • Flexibility during practical assessments.

    • Reduced requirement to act as a body for peers.

    • Additional rest breaks.

You may choose to book private studio sessions with an Educator to personalise your practice. This is optional and not required. Fees are set independently by the studio.

Important Note: Pilates ITC does not provide medical advice. Students should consult their healthcare provider regarding safe participation.

Requesting an Adjustment

Let Us Know

If you believe you may need support:

  • Contact the Student Support Team as early as possible.

  • Provide supporting documentation if requested.

  • We will work with you to create a personalised Training Plan outlining agreed adjustments.

Implementation and Review

  • Adjustments will be implemented promptly once agreed.

  • We will check in with you during your course to ensure the adjustment remains effective.

  • Plans can be updated at any time if your needs change.

Late Disclosure and Assessment Implications

If needs are disclosed on the day of an assessment:

  • We will make every reasonable effort to support you.

  • If an adjustment cannot be safely or validly implemented immediately, you may be offered:

    • A rescheduled in-person assessment.

    • A digital submission option.

    • A resit or resubmission (fees may apply as per the Fee Schedule).

This ensures assessment validity and fairness for all learners.

Where Adjustments May Apply

Adjustments may be applied to:

  • Course Delivery Days, including flexible schedules, breaks, or alternative participation methods.

  • Teaching Clinics, including modified activities to ensure safe participation.

  • Assessments, including additional time, alternative formats, or modified tasks that maintain competency requirements.

All adjustments must be documented and approved to ensure consistency and compliance.

Students may request:

Record Keeping and Governance

To meet the Standards for RTOs 2025 and ASQA expectations:

  • All Training Plans, documentation, and adjustment decisions are securely stored in the student management system.

  • Records include:

    • Disclosure details.

    • Consultation notes.

    • Evidence provided.

    • Adjustment decisions.

    • Assessment modifications.

    • Review outcomes.

  • Access is restricted to authorised Team (Staff and Contractors) only.

  • Records are retained according to regulatory requirements.


Complaints and Appeals

If you disagree with a decision about reasonable adjustments or feel your needs have not been met:

  • You may lodge a complaint or appeal through the Complaints and Appeals Policy.

  • Pilates ITC will ensure all concerns are handled fairly, confidentially, and without disadvantage.

  • Outcome Standard 3 of the Standards for RTOs 2025: Ensuring learners receive appropriate support, wellbeing considerations, and access to complaints and appeals processes.

  • Clause 1.8 of the Standards for RTOs 2025: Ensuring all students can access fair and flexible training and assessment processes.

  • ASQA Guidelines on Inclusive Practice: Supporting equitable participation by documenting, reviewing, and adjusting support as needed.

  • Disability Discrimination Act 1992 and Disability Standards for Education 2005: Ensuring students with disability are provided reasonable adjustments without discrimination.
