Purpose

We understand that sometimes life throws unexpected challenges your way—and you might need just a little more time to finish what you started. This policy is here to support you in requesting a course extension, with clear steps and guidance so you can continue feeling confident and well-supported.

Course extensions are designed to give you flexibility and support. However, please keep in mind:

  • They are not a way to restart or repeat your studies.

  • They are not a guarantee of time beyond the 12-month extension limit.

  • They don’t replace the need to re-enrol if course requirements aren’t met within the allowable timeframe.

If you're unable to complete your course after the full extension period, re-enrolment will be required at full cost. Due to the way our units are clustered, unit credit transfers may not be available.


Definitions

Expected Course Duration: The estimated timeframe to complete your curriculum pathway at the anticipated pace set forth by the curriculum design.

Maximum Course Duration: The maximum timeframe outlined at enrolment and visible in your Student Portal for course completion.

Original course timeframe: From the issuance of the learning platform and resources (considered your start date) to the maximum course duration date. (See Course Durations Policy)


Who This Policy Applies To

  • You, if you’re currently enrolled in a Pilates ITC course and need more time beyond your maximum course duration.

  • Our Pilates ITC team, who support and process extension requests in line with compliance standards.


Our Policy

Extension Required to Complete Your Pathway

This option is for you if you just need more time to complete coursework or assessments within your current enrolment.

Eligibility Criteria

  • You’ve consistently engaged in your studies and made progress.

  • You’ve been actively participating in the learning platform and (if applicable) placement activities.

  • All course fees are paid and up to date.

Key Details

  • Extensions are offered in 1-month increments, up to a maximum total of 12 months.

  • Each request is assessed individually, with your success in mind.

  • A monthly Extension Fee applies—refer to the Fees Schedule.

  • If the 12-month maximum is reached and the course remains incomplete, re-enrolment is required at the full course cost (no fee credits).

How to Apply

  • Email the Student Support Team explaining why more time is needed.

  • You may be asked to provide supporting documentation.

If conditionally approved, you’ll receive:

  • An Enrolment Extension Request Form

  • An invoice for the applicable fee

Once your form and payment are received, your request will be processed.

Important Reminders

  • You have 7 days from the date of invoice to complete your form and payment.

  • Your extension is only confirmed once you receive a Confirmation of Extension email from us.


Extension due to Change of Cohort

Available to Blended Students Only

If you're a Blended Student and an approved Change of Cohort has extended your enrolment beyond the original course duration—with no alternative dates available—you may be eligible for a Change of Cohort Extension.

Eligibility Criteria

  • You’re enrolled in a blended course.

  • You’ve received formal approval for a Change of Cohort.

  • No other suitable dates were available within your original course timeframe.

  • You've remained actively engaged in your studies.

Key Details

  • In addition to the new timeline due to your Change of Cohort, you’ll receive a 4-month extension from your final Course Delivery or Teaching Clinic date, and this will become your new maximum course duration.

  • Your access to course content will continue uninterrupted.

  • A one-off Change of Cohort Extension Fee applies—refer to the Fees Schedule.

  • All other extension terms and conditions apply.

How to Apply

  • Submit a written request outlining your approved Change of Cohort circumstances.

If eligible, we’ll issue:

Submit your completed form and payment.

Important Reminders

  • Payment and form must be received within 7 days of invoice issue.

  • Your extension is confirmed once you receive your Confirmation of Extension email.


Extension with Prior Director Approval

If you received an extension from a Pilates ITC Director prior to enrolment—great news! That extension is already part of your enrolment, and no further action is needed unless you need more time beyond it.

Eligibility Criteria

  • Your extension was formally approved by a Director before your enrolment.

Key Details

  • No additional fees apply for the pre-approved timeframe.

  • If you later require more time, you’ll need to apply through Option 1: Extension Required to Complete Your Pathway.


Right to Decline

While we always aim to support you, we may need to decline your extension request if:

  • Your engagement hasn’t been consistent, or

  • Your application doesn’t meet the required eligibility criteria.

  • Outcome Standard 1 – The Student Experience Clause 1.7: You’re supported with tailored solutions that consider your individual learning needs.

  • Outcome Standard 5 – Learner Protection Clause 5.4: Your enrolment changes—such as extensions—are managed fairly and clearly.

  • Outcome Standard 6 – Appeals and Feedback Clause 6.1: You have access to a transparent process for appeals or feedback relating to your extension or enrolment.
