Purpose

This policy explains your responsibilities when completing assessments with Pilates ITC. It outlines how you must verify your identity, when you need to provide photo ID, and how Pilates ITC ensures that all assessment evidence you submit is genuinely your own. These processes help us meet the Standards for RTOs 2025 and maintain the integrity of your qualification.


Definitions

  • Learner Identity Verification How Pilates ITC confirms that you are the person completing and submitting your assessments.

  • Photo Identification (Photo ID) A government‑issued or institution‑issued document that includes your photograph and legal name.

  • Written Assessment Any theory‑based assessment you submit through the Pilates ITC Learning Management System (LMS).

  • In‑Person Practical Assessment A supervised, face‑to‑face assessment you attend with a Pilates ITC educator or assessor.

  • Digital Practical Assessment A video‑based assessment you record and submit via Digital Submission process.

  • Student Declaration A statement you must agree to in your LMS before accessing assessments, confirming that all work you submit is your own.

  • Assessment Authenticity Your responsibility to ensure that all evidence you submit is genuinely produced by you.


Who This Policy Applies To

This policy applies to you as a Pilates ITC student, whether you study online, in person, or through blended delivery. It also applies to educators, assessors, and Student Support staff who verify your identity.


Procedure

1. Written Assessments (LMS Submission)

When you complete written assessments, you must submit them through the LMS using your unique login details.

Before you can access your assessments, you must complete the Student Declaration, confirming that:

  • The work you submit is your own.

  • You understand academic integrity expectations.

  • You agree to identity verification processes.

You do not need to provide photo ID for written assessments. Your identity is verified through:

  • Your LMS login.

  • Your signed Student Declaration.

2. In‑Person Practical Assessments

When you attend an in‑person practical assessment, you must bring valid photo ID.

Acceptable Photo ID (Australia & New Zealand)

You may use:

  • Australian or New Zealand Driver Licence.

  • Australian or New Zealand Passport.

  • Australian Proof of Age Card.

  • Australian Photo Card (state‑issued).

  • New Zealand 18+ / Kiwi Access Card.

  • Australian Keypass ID.

  • Student ID card with photo (issued by a recognised institution).

Your Responsibilities

You must:

  • Bring your photo ID to your assessment.

  • Ensure your ID is current and easy to read.

  • Make sure the name on your ID matches your enrolment.

Educator Responsibilities

Your educator will:

  • Check your ID before the assessment begins.

  • Confirm that the photo matches you.

  • Record that your identity has been verified.

  • Report any concerns to Student Support.

Your educator will not copy or store your ID.

3. Digital Practical Assessments

When you submit a digital (video‑based) practical assessment, you must verify your identity at the start of your video.

You must:

  1. Hold your valid photo ID clearly to the camera.

  2. State your full legal name.

  3. State your residential address.

  4. Show your face clearly and match it to the ID.

Acceptable Photo ID for Digital Practical Assessment Submissions

You may use any of the following valid, current photo identification:

Australia – Acceptable Photo ID

  • Australian Passport.

  • Australian Driver Licence (including learner permit).

  • Australian Proof of Age Card.

  • Australian Photo Card (state‑issued).

  • Keypass Identity Card (Australia Post).

  • Australian Firearms Licence (with photo).

  • Australian Tertiary or Secondary Student ID Card (with photo and full name).

New Zealand – Acceptable Photo ID

  • New Zealand Passport.

  • New Zealand Driver Licence.

  • Kiwi Access Card (formerly 18+ Card).

  • New Zealand Firearms Licence (with photo).

  • New Zealand Tertiary or Secondary Student ID Card (with photo and full name).

International Students

If you are completing your assessment outside Australia or New Zealand, you may use:

  • A passport from any country.

  • A government‑issued National Identity Card.

  • An international driver licence (with photo).

ID Requirements

Your ID must:

  • Be current (not expired).

  • Show your full legal name.

  • Include a clear, recognisable photo.

  • Match the name on your enrolment.

If your name has changed, you may need to provide:

  • A marriage certificate.

  • A change of name certificate.

  • A statutory declaration.

Verification Process

  • The Student Support Team verifies your identity.

  • Your educator does not verify digital submissions.

  • Any concerns are escalated to the Compliance Manager.

4. If Your Photo ID Does Not Match You

If your educator or Student Support Team cannot confirm your identity, your assessment cannot proceed.

Immediate Action

  • In‑person: Your assessment will be paused.

  • Digital: Your video will not be sent for marking.

Next Steps

You may be asked to provide:

  • A second form of photo ID.

  • A live video call to confirm your identity.

  • Personal details held on file.

  • A statutory declaration.

Investigation

If your identity still cannot be confirmed, Pilates ITC may treat this as a potential breach of:

Possible outcomes include:

  • Re‑sitting the assessment under supervision.

  • Temporary suspension of assessment access.

  • A formal misconduct investigation.

  • Cancellation of enrolment (in serious cases).

Documentation

All actions and outcomes will be recorded in your student file.

Your Responsibilities

You must:

  • Provide truthful and accurate identification.

  • Notify Pilates ITC if your ID is lost, expired, or unavailable.

  • Follow all assessment integrity requirements.

Pilates ITC must:

  • Protect your personal information.

  • Maintain secure, audit‑ready records.

  • Ensure all assessment evidence is authentic.


Educator and Student Rights

  • Your educator has the right to decline your assessment if your identity cannot be verified.

  • You have the right to ask questions or request support.

  • Pilates ITC may revoke your assessment access if verification processes are breached.

Your personal information, including photo ID, is protected by law.

ASQA Requirements
